How Tech 2 Teach collects, uses, stores and protects personal information in PIPS (Positive Impact Points) and on tech2teach.com.au.

1. About this policy
This policy explains how Tech 2 Teach (ABN 15 886 115 695, "we", "us") handles personal information in the PIPS (Positive Impact Points) app at pips.tech2teach.com.au and on our website tech2teach.com.au. We follow the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
Schools decide what student information is entered into PIPS. We handle that information on the school's behalf, only to provide PIPS to the school.
How we protect information is described in our Security Statement.
2. Information we collect
- Staff accounts: name, email address, role (teacher or school administrator), school, the sign-in method used (Google, Microsoft or email and password) and a profile photo if you upload one.
- Students (entered by school staff, or imported from Google Classroom when a teacher chooses to): name, class, house, an optional photo, the avatar character chosen for them, points awarded and the school value each award was for, optional notes written by staff, rewards and redemptions, streaks, goals, assembly award nominations and their reasons, and portfolio items (titles, notes and photos of work). Students do not have accounts and never log in.
- School details: school name, logo, colours, houses, values, calendar events and settings.
- Billing: your plan, subscription status and dates, and Square's reference for your subscription. Card details are entered into Square's secure form and go directly to Square; PIPS never receives or stores card numbers.
- Trial sign-ups and enquiries: name, email, school and class name, plus the IP address the request came from (used only to stop abuse) and a Cloudflare Turnstile check that the form was filled in by a person.
- Technical information: standard server logs (IP address, browser type, date and time) used for security and troubleshooting.
Roll mode absences are kept only on the teacher's own device for that day and are not sent to our servers.
PIPS does not need sensitive information (such as health, religion or ethnicity) to work. Please don't enter it in notes.
3. How we use information
- To run PIPS: awarding points, houses, goals, rewards, reports and displays.
- To sign you in and keep your account secure.
- To send service emails such as invitations, trial codes, billing notices and renewal reminders.
- To process subscriptions and payments through Square.
- To answer support requests and keep PIPS secure and reliable.
We do not sell personal information, use student information for advertising or marketing, or build profiles of students for anyone other than their school.
4. AI Insights (optional)
Teachers can ask PIPS for AI suggestions about a class. When they do, PIPS sends an AI model only each student's points totals and how many points they earned for each school value, with every student replaced by a label such as "Student 3". No student names, notes, photos or class names are sent. The AI's reply comes back to PIPS, which puts the real names back in before showing it to the teacher. The AI model is provided through our hosting platform, Base44.
5. Who can see information
- Staff at the student's school. Each school's records are separated from every other school's in the database. Teachers update students in their own classes; school administrators manage the whole school.
- Tech 2 Teach support staff, only when needed to provide support or run the service.
- Classroom displays: a school's TV or smartboard link shows only the school name, logo and house totals, never student information. Administrators can replace the link at any time.
- Service providers listed below, only for the purpose shown.
We share information with others only when the school asks us to, or when the law requires it.
6. Service providers
| Provider | What for | Information involved | Location |
|---|---|---|---|
| Base44 (a Wix company) and its infrastructure providers | Hosting, database, sign-in, sending emails, AI model access | All PIPS data (AI requests are de-identified, see section 4) | United States |
| Square | Subscription payments | Billing name, email, card details (entered directly into Square) | Australia and overseas |
| Optional sign-in; optional Google Classroom import | Staff name and email; class rosters a teacher chooses to import | Overseas | |
| Microsoft | Optional sign-in | Staff name and email | Overseas |
| Cloudflare | Bot check on the trial sign-up form | Browser and device signals | Overseas |
7. Where information is stored
PIPS data is stored in the United States by our hosting platform, Base44, which is SOC 2 Type II and ISO 27001 certified. Under APP 8 we take reasonable steps to make sure overseas providers handle personal information consistently with the Australian Privacy Principles. A Data Processing Agreement is available to schools on request. An Australian data-residency option is on our roadmap.
8. Security
We protect information with database-level separation between schools, role-based permissions, encryption in transit and at rest, and secure payment handling through Square. The details are in our Security Statement.
9. Keeping and deleting information
We keep a school's information while its PIPS account is active. Archived classes and students stay archived until the school deletes them. A school can ask us to delete all of its data by emailing support@tech2teach.com.au; we will confirm when it is done. Deleted data may remain in our hosting provider's backups for a limited time before it is permanently removed. Billing records are kept as long as Australian tax law requires.
10. Access and correction
School administrators can see and correct most information directly in PIPS. Anyone can ask us for access to, or correction of, personal information we hold about them by emailing support@tech2teach.com.au. Requests about students are handled together with the student's school. We respond within 30 days.
11. Children and schools
PIPS is used by school staff, not by children. Student information is entered and managed by adults at the school. Schools are responsible for having the authority to enter student information and for any notices or consent their own policies require (for example, Victorian Department of Education requirements for government schools). We can provide a data-handling summary to support a school's approval process.
12. Data breaches
If we become aware of a data breach that is likely to cause serious harm, we will assess it promptly, notify affected schools and the Office of the Australian Information Commissioner (OAIC) as required by the Notifiable Data Breaches scheme, and tell schools what was involved and what to do next.
13. Questions and complaints
Contact our Privacy Officer, Tech 2 Teach at support@tech2teach.com.au. We will respond within 30 days. If you are not satisfied with our response, you can complain to the OAIC at www.oaic.gov.au.
14. Changes to this policy
When we update this policy we publish the new version, with its date, in both PIPS and on tech2teach.com.au, and tell school administrators about important changes in PIPS or by email.
